W-9s and Getting Paid

Understanding the payment process can help set expectations and eliminate confusion.

Within the first five days of each month, hockey associations are invoiced for all games worked during the previous month. Once an association receives and processes its invoice, it issues payment directly to the officials who worked those games.

Because each association pays officials separately, you may receive multiple checks if you worked games for more than one association during the month. In most cases, officials receive payment during the third or fourth week of the month following the games they worked.

For example:

If you officiated a game for the Polar Caps on October 10 and a game for the Patriots on October 18, those October games would be included on invoices sent to the associations in early November. Each association would then process its own payment, and you would receive two separate checks, one from the Polar Caps and or from the Patriots, likely during the third or fourth week of November.

Currently, the following associations require a Federal IRS Form W-9 to be on file before payment can be issued:

  • Madison Capitols
  • MyHockey Tournaments
  • WAHA – WEHL and Team Wisconsin games

A W-9 maybe obtained by going to the IRS W-9 page.

WIAA games are paid directly by the schools and may follow a different payment timeline and procedure (e.g., ArbiterPay).
